I would stick with the library on this one. No library should house items 
belonging to another agency if they can avoid it. If they don't own the 
items, they are outside the collection devlopment policy, not to mention 
the insurance policy. Housing items that don't pass through the policy 
leaves you wide open to requests from any local group to separately 
shelve their materials for them. No matter how worthy the group, this is 
a poor idea. 

If they want to house even some of their files in the library, get a 
contract with them. AS part of the library's mission, the library can 
by contract, provide special arrangements with agencies that support 
libraries. Though we accept genealogy materials only as donations and 
then sanctify them through the collection development policy, we do have 
a contract to house the files of the local genealogy society. We have 
similar contracts with community theater (for use of our theater and 
storage), cable access (for office space) and arts council (for office 
space).

While I think housing non-library material is a rat's nest, some middle 
ground may be contractually arranged. Do NOT let this be a matter of 
their recollections vs. your recollections. Make the matter fit within 
your roles and then have the board issue a contract.
